    The Human Resource Administrator is responsible for the administrative support of day-to-day human resource operations. Performs a wide range of duties to assist the Talent and HR Operations Department. Position requires the highest degree of discretion and confidentiality in handling of personnel related documents and information. The incumbent must possess an ability to work cohesively with other members of support staff, flexibility to stop/continue work assignment while coping with various interruptions daily in a fast-paced work environment and adaptability to perform effectively under pressure created by deadlines. The incumbent must be motivated by an attitude of willingness to serve and support all employees, must possess a pleasant personality and demonstrate initiative.

    Accountabilities

    • Maintains all current and former employees’ files and coordinates with Human Resource Associate to document files and purge according to standard operating procedure.
    • Maintains compliance and reporting for DOT and MVA record keeping and works with other administrators throughout the company to ensure compliance with Smith Driving Program.
    • Responsible for the responding, maintaining and updating of all unemployment claims within the appropriate state agencies online portal. Works with managers to determine response and coordinates phone call and interviews between managers and state agencies.
    • Orders all supplies for the department and ensures they are delivered to the appropriate individual. Coordinates with other administrators the installation of office and IT equipment as needed and required by the individual.
    • Processes all incoming and outgoing mail
    • Monitors the department’s annual budget, prepares monthly detail of expenses and reports to the team.
    • Prepares all invoices with the accounting department to be processed on behalf of the department to include monthly benefit invoices.
    • Responsible for all catering requested for department events. Coordinates all department events, including the annual holiday party, employee celebrations and annual HRD two-day meeting.
    • Answer team member’s phone as needed and requested.
    • Assist recruitment with the greeting of candidates and coordination of interviews. 

    Required Qualifications

    • Five years of strong administrative support preferably within an HR Department.
    • Associate’s degree required, Bachelor’s preferred
    • Proficient experience with Microsoft Office 365
